After-Hours Calls Across Kitchener, Waterloo, and Cambridge: Write the Service Area Down First
By Right On Call ·
A shop in Waterloo Region rarely serves one city. Kitchener, Waterloo, and Cambridge share a phone book, and the calls from Elmira, New Hamburg, and Baden arrive on the same line. At 9 PM, someone has to decide whether to drive. That someone should be a rule you wrote when you were rested.
Three cities and a ring of towns
The coverage question is the one that costs money twice. Book a job you do not serve and you cancel it later. Turn away one you do serve and a competitor takes it. Both happen when the answer is made up on the call.
Coverage is set by postal code and forward sortation area, and checked on the call with a readback to the caller. Callers outside your list are told so plainly instead of being booked and cancelled. You decide whether Cambridge is in and whether the townships are out.
Rentals and condos change who calls
Uptown Waterloo and downtown Kitchener carry a lot of rental and condo stock. Property managers there take tenant calls after the office closes, and the gap between a logged leak and an ignored one is a claim.
Tenant maintenance logging captures the unit, the building, and the urgency, and notifies the building manager on an emergency. Tell us at the start if your calls come from tenants rather than owners, and we set the script up that way.
What to write down before setup
Four decisions make the rest straightforward. None take long, and all of them are easier to make in daylight.
- Which towns and postal-code areas you run to, and which you do not.
- Your hours, and which hours the receptionist answers first versus only when you miss the call.
- The number that gets urgent texts, and who holds it on weekends.
- What counts as urgent for your trade, in your words.
Setup from London
We are based in London, about an hour up the 401, and we do not have an office in Waterloo Region. Setup is remote, with in-person time available for customers here. We would rather say that than list an address we do not have.
In a multi-city area the receptionist is only as good as the list you give it. Write down where you go, what is urgent, and who gets the text. Then the 9 PM decision has already been made.
