Choosing an AI Answering Service for a Plumbing Shop: Six Questions to Ask First
By Right On Call ·
Pick the service that sorts a leak from a dripping tap the same way every time, books only times your calendar really has, tells your on-call number what happened, and never quotes a price it cannot stand behind. Everything else is polish. These are the six questions that separate services that hold up at 2 AM from ones that sound good in a demo, with our own answer to each so you can compare.
1. How does it decide what is an emergency?
Ask for the rule, not the adjective. A good answer names the signals (an active leak, a burst pipe, a gas smell) and says the same signals always produce the same outcome. Ours uses three levels: safety, urgent, and standard. An active leak is urgent and gets the soonest real slot plus a text to your on-call number. A dripping tap books the next suitable slot.
The rule should not depend on the caller’s tone or on one prompt edit. In our setup the safety check also scans the caller’s own words, and it leans toward catching.
2. What will it refuse to say?
The expensive failure is a confident wrong answer. Ours does not diagnose and does not quote a repair price. It records what the caller can see, hear or smell, and leaves the fault and the number to your technician. A service that reads out a price range on the phone is making a promise your tech has to unwind in the driveway.
Gas, smoke or sparks get a short, bounded script and an immediate flag for a human callback, not a routine booking.
3. Does it book real times or invent them?
Ask where the available times come from. Ours offers only slots your calendar returned and checks again before it books, so one slot is not promised twice. If the calendar refuses or cannot be reached mid-call, the call is kept and marked Not confirmed on the dashboard for you to settle.
Jobber connects from our dashboard (client and job created for each call, no technician assigned). That is a connection, not an App Marketplace listing. Other field-service tools such as Housecall Pro or ServiceTitan are built as an adapter during setup. One adapter is included on the Managed plan, and a build beyond that is quoted before we start.
4. Who finds out, and how fast?
A booked call you learn about at 7 AM is not much help for a burst pipe. Ask what the on-call person receives and when. Ours texts your on-call number with the details, and the customer gets a confirmation text they can correct. Live transfer to a person is off by default and is something a shop turns on.
No human receptionists work for us. When a caller needs a person, your own team is texted and calls back.
5. What does it cost, all in?
Get the setup fee, the monthly price, the included minutes and the overage rate in writing. Ours: Essential is $199 CAD a month with 200 minutes included and a $699 CAD setup, then $0.70 CAD a minute past that. Managed is $449 CAD a month with $1,299 CAD setup. Prices are in CAD plus HST.
There is a 30-day money-back guarantee from go-live, covering setup and the first month.
6. What do you keep?
You keep your number. You answer if you can, and the receptionist picks up if you do not. Recordings are customer-owned and deleted about 14 days after the call on the standard plan, and we are PIPEDA-aligned, not certified to anything. Our vendors are named on the security page, including the US ones.
When we are not the right pick
We serve Ontario only. If you want a person on every call, a staffed answering service is the right tool, and we say so on the AI receptionist versus answering service page. If you want to sign up and configure it yourself tonight, we are done-for-you rather than self-serve.
Put the six questions to every vendor you talk to, ours included, and write the answers side by side. The free missed-call audit uses your own call log, so you see how many calls would have been answered before you decide anything.
