AI Receptionist for an Appliance Repair Shop: What It Should Capture and What It Should Not Say
By Right On Call ·
An appliance shop needs a receptionist that captures the appliance, brand and model, the symptom, and the address, books a real slot, and stops there. It should not guess at the fault or give a price. Here is what that looks like in practice, and the limits that keep it from creating work for your technicians.
What it captures on the call
The receptionist asks what is wrong, which appliance it is, and the brand and model if the caller has them. It reads the service address back and checks it against your coverage. It records the symptom as the caller describes it. The full details arrive by text after the call, and the customer replies YES or corrects anything.
What it will not say
“Not cooling” is a symptom. “Bad compressor” is a diagnosis. “About $400” is a quote. The receptionist handles the first and is blocked from the other two. It leaves the fault and the price to the technician who sees the appliance.
Urgent calls: spoiling food and active leaks
A dead fridge with food inside or a leak is urgent. It is offered the soonest slot the calendar really has, and your on-call number is texted. A gas smell or sparking stops normal booking and flags the call for an immediate human callback.
Booking that does not double-book
Only times your calendar returned are offered, and the slot is checked again before booking. Cal.com event types can carry required questions, and the receptionist answers them from the call. It will not answer a required yes/no, number, email or URL question, so make those optional on the event type you hand it. Jobber connects from our dashboard and gets a client and a job for each call, with no technician assigned.
Cost and limits
Essential is $199 CAD a month with 200 minutes included, $699 CAD setup, and $0.70 CAD a minute after that, in CAD plus HST. We serve Ontario only, we are done-for-you rather than self-serve, and the receptionist does not cancel an existing appointment on its own.
If your calls are mostly existing customers asking about invoices, you may not need this. If new customers call with a broken appliance while your phone rings out, the free missed-call audit will show the size of the gap from your own call log.
