If the office already books in Calendly, so does the receptionist.

Some offices booked everything through Calendly long before they needed a receptionist. Right On Call can book against the Calendly event type you pick, rather than asking you to move to a different calendar.

How the connection actually works

What the receptionist sends

The caller’s name and email to Calendly’s Scheduling API, which books the slot directly with no redirect to a Calendly page. Calendly’s invitee has no phone or address field, so those stay on the Right On Call record and in the text to your shop.

What gets created

One scheduled event on the event type you picked, with its duration. If the caller gave an email, Calendly can send its own confirmation. If not, a placeholder address is used so the booking still goes through, and the only confirmation is ours, by text.

Which slots are offered

Real open times on that event type, checked when the caller agrees. Calendly limits one availability lookup to a seven-day window. The agent can’t offer a time Calendly hasn’t listed.

Daytime and after hours

During the day

Daytime calls are offered what is open on the event type. A shop that is booked up says so, instead of finding a slot that doesn’t exist.

After hours

An evening call is offered the next open windows on the event type, not a time when nobody works.

What setup looks like

Check the plan before you connect. The Scheduling API is the part that needs it.

  1. Confirm your Calendly plan

    Creating bookings needs a paid plan (Professional, Standard, Teams, or Enterprise) with Scheduling API access.

  2. Connect from Integrations

    In the dashboard, choose Connect on the Calendly card and approve access.

  3. Pick the event type

    Choose which active event type visits should book against, and Save. Connecting alone is not enough.

  4. Make a test booking

    Book a visit by calling the line and check it on your Calendly page.

Limits and edge cases

  • A free Calendly plan can connect, but its first booking fails. The connection card says so.
  • Calendly invitees are keyed by email, not phone, so looking up an existing appointment matches on the caller’s name.
  • Calendly has no way to reschedule through its API. A reschedule request books the new visit and texts your shop to cancel the old one.
  • A connection older than the current scopes may need to be reconnected.

  • Offices that already book through Calendly and want to keep doing so.

This isn't

  • Shops on Calendly’s free plan. Use Cal.com, or upgrade.

What we won't claim

  • Cancel or move an appointment on a caller’s word.
  • Put the caller’s phone or address into Calendly.
  • Replace Calendly’s own reminders. Ours is one text the evening before.

Cal.com or Calendly, which should I choose?

Whichever your office already uses. Both are live and both book against the event type you Save. Cal.com additionally answers an event type’s required questions from the call.

Why did my first booking fail?

Almost always the plan. Creating bookings needs a paid Calendly plan with Scheduling API access. An older connection may also need to be reconnected for the booking scope.

Does the caller get a Calendly email?

Only if they gave an email on the call. Otherwise they get our confirmation text.
